Lead Recovery OS — the workspace your pipeline runs in.
One pipeline for every channel an enquiry can arrive on, a reply within seconds at any hour, qualification against criteria you set, follow-up that does not depend on anyone remembering, and a weekly count of what stopped where.
What is Lead Recovery OS?
Lead Recovery OS is Valenza.io’s operating system for lead recovery: the workspace where a client’s enquiries, conversations, qualification, appointments and pipeline reporting are consolidated and operated.
It is not self-service software you buy, install and learn. It is deployed for your business, connected to the channels your customers already use, configured to your qualification criteria, and operated as part of the engagement. You get the workspace, the records and the weekly report; you do not get a training course and a login you never use.
The problem it exists for
A business pays to generate enquiries, and a predictable share of them never reach a conversation — they arrive on a channel nobody watches, wait too long for a first reply, are worked in the order they shout rather than the order they matter, or go quiet and are never contacted again.
None of that shows up in a report, because there is no record of a reply that was never sent. What the owner sees is spend rising and conversion feeling poor, and the standard advice for that picture is to spend more — which pushes more volume into the same structure. Where enquiries are actually lost →
Why the usual answers do not close it
A CRM reports what someone entered into it. The enquiry nobody entered — the message at 9:40pm, the missed call with no callback, the marketplace enquiry in an inbox nobody opens — is invisible to it, and that set is usually where the lost revenue is.
A website chatbot sits on a page. It does not answer the enquiry that arrived by message, by phone or through a marketplace, which is where most enquiries in these businesses actually arrive.
More advertising increases the volume entering the pipeline and therefore the absolute number lost inside it. It is the right purchase for a business with too few enquiries and the wrong one for a business that is not working the enquiries it has.
What runs, in the order an enquiry meets it
Layer 1
Detection — every channel becomes one pipeline
Web forms, business messaging, social, marketplace enquiries and missed calls route into a single record per person, deduplicated across channels. Nothing depends on whoever happened to see it first, and for most businesses this is the first week they can state how many enquiries they actually received.
Layer 2
Response and qualification — the conversation starts immediately
The first reply goes out within seconds, around the clock, in your voice, from material you wrote and approved. It asks the questions you decided identify a serious enquiry, and it hands over to your team the moment a conversation needs a person. It never quotes terms you have not approved and never gives professional advice.
Layer 3
Recovery — nothing goes quiet unattended
Enquiries that stall enter a follow-up cadence that runs on fixed intervals without anyone remembering, stopping instantly on a reply, a booking or an opt-out. The same mechanism works your back catalogue: past enquiries that were never answered, answered late, never progressed, or quoted and abandoned.
Layer 4
Measurement — the pipeline is counted, not felt
Every enquiry carries its source, its time to first reply measured from its own timestamp, its qualification result, its stage and its outcome. One page goes out weekly — received, answered, response time, qualified, booked, attended, and what stopped where — against the baseline measured before anything went live.
Each layer is assembled from the systems we build and operate. The full inventory — what each one includes, and which pipeline stage it serves — is on the systems page (10 systems).
The sequence an enquiry travels, stage by stage
Lead Recovery OS implements the same seven stages Valenza.io uses to map every pipeline. Nothing in the list below is aspirational: each stage is a thing the system does for a live client, and each is measured separately so the business can see which one is losing money.
01 — Attract
Reach the people who are already in-market for what you sell.
Outbound prospecting and inbound capture feed the same pipeline. We do not run your ads — we make sure every source you already pay for lands somewhere that responds.
02 — Capture
Every enquiry enters one organised system, whatever channel it arrives on.
Forms, messaging apps, social DMs, inbound email, missed calls and chat all route into a single pipeline with a single record per person. Nothing sits in an inbox nobody owns.
03 — Qualify
Intent, fit, urgency and value are established before your team spends an hour.
A short set of questions you define, asked the same way every time. High-intent prospects are flagged and prioritised; poor-fit enquiries are handled politely and closed out instead of consuming your calendar.
04 — Engage
Personalised conversations happen in seconds, at any hour, on any day.
Replies are written in your voice from material you approved. The system answers the routine questions, escalates the sensitive ones to a human immediately, and never improvises where the stakes are real.
05 — Follow up
No promising opportunity is forgotten because someone was busy.
Scheduled, capped, polite persistence across the whole pipeline: proposals chased, quiet prospects revived, no-shows rescheduled. It stops instantly on a reply or an opt-out.
06 — Book
Qualified prospects move straight into a consultation, appointment or sales call.
Real availability from your real calendar, with confirmations and reminders that reduce no-shows. No back-and-forth, no queue waiting for someone to call back and schedule.
07 — Measure
You can see the whole pipeline from first enquiry to closed revenue.
One page a week: enquiries, qualified, engaged, booked, attended — against the baseline we measured before launch. If the numbers stall, you see it before we explain it.
A recovery run over a back catalogue uses the same machinery in a fixed order: past enquiries are consolidated into one pipeline and deduplicated, segmented by what actually happened to them, re-opened with an approved first message, stopped instantly on a reply, a booking or an opt-out, and counted per segment. Lead generation, lead recovery and revenue recovery are three different things
They are routinely used interchangeably, and the confusion is expensive: a business that buys generation when it needed recovery pays twice for the same customer.
- Lead generation
- Acquires new enquiries, and carries an acquisition cost per enquiry. Valenza.io does not do this: it runs no advertising and produces no campaigns.
- Lead recovery
- Re-engages enquiries the business already received and did not convert — unanswered, answered late, never progressed, or quoted and then quiet. No acquisition cost, and a known audience that has already raised its hand.
- Revenue recovery
- The measured value of business won from enquiries that would otherwise have been lost — recovered leads carried through to booked, attended and closed outcomes, and counted in money rather than in activity.
What it is not
It does not generate demand. We do not run ads or produce campaigns, and if what a business needs is more enquiries rather than better handling of the ones it gets, we say so on the call.
It does not close business. The system captures, answers, qualifies, follows up and books; people advise, persuade and decide. We build for that boundary and never across it.
It is not a lock-in. You keep your accounts, numbers and data; on exit you get a full export plus documentation of every flow, rule and cadence built. How your data is handled →
Who it runs for, and where it lives
Valenza.io builds and operates Lead Recovery OS for businesses in India where an enquiry costs money to generate and a single closed customer is worth real money — clinics and medical practices, professional services, home and local services, education, and B2B companies with a human sales motion. Questions people ask
What is Lead Recovery OS?
Lead Recovery OS is Valenza.io's operating system for lead recovery: the workspace where a client's enquiries, conversations, qualification, appointments and pipeline reporting are consolidated and operated. It is not self-service software a business buys, installs and learns — it is deployed for the business, connected to the channels its customers already use, configured to its qualification criteria, and operated as part of the engagement.
How is Lead Recovery OS different from a CRM?
A CRM reports what someone entered into it. Lead Recovery OS records what happened to every enquiry that reached the business, including the ones nobody entered — the message at 9:40pm, the missed call with no callback, the marketplace enquiry in an inbox nobody opens. It also acts: it answers, qualifies, follows up and books, where a CRM waits for a person to do those things. It is not a replacement for a system of record, and where a business already has one, Lead Recovery OS connects to it.
How is lead recovery different from lead generation?
Lead generation acquires new enquiries and carries a cost per enquiry acquired. Lead recovery re-engages enquiries the business already received and already paid for, from people who have already identified themselves as interested. A business with no enquiries needs generation. A business with enquiries it never worked needs recovery. Valenza.io does the second and does not do the first.
Does Valenza replace my CRM?
No. We work with the CRM you have and make it reflect reality without anyone doing data entry. If you do not have one, we set up a system of record — which for some businesses is a proper CRM and for others is something much simpler. You are never forced onto our tooling, because there is no tooling of ours to be forced onto.
Is this just a chatbot?
A chatbot is a widget on a website. This is a pipeline: capture across every channel, qualification against criteria you set, booking into your real calendar, scheduled follow-up, CRM automation and weekly reporting — designed, written, monitored and tuned by people, with strict limits on what the conversational layer will say and instant human handover. The conversation is one component of several.
