For study abroad & education consultancies
Every student enquires at four consultancies on the same evening.
They send the same message to everyone, then commit to whoever engaged them properly first. Enquiries cost more every year, and the difference between a strong month and a weak one is almost never demand. Valenza builds the system that answers first and follows through longest.
A 30-minute strategy call. We map how enquiries reach you, where they stop, and what the system would change.
Worked example — course enquiry → qualification → counselling session.
The journey
How an enquiry travels through your business today
01 · The enquiry
Sent in the evening, from a phone, to several consultancies at once. It is short and gives you almost nothing to work with.
02 · The first reply
Whoever responds with a real question rather than an acknowledgement becomes the one the student actually engages with.
03 · The screening
Destination, test status, intake and academic profile decide which counsellor should take the session. Most consultancies establish this during the session, using counsellor time to do it.
04 · The long middle
Between counselling and application sits documents, deadlines and decisions that take months. This is where enrolments quietly disappear.
Where education enquiries stop
The evening enquiry
Students enquire after college and after work. A message answered the following afternoon is answering a student who has already spoken to three other consultancies.
Counsellors spend their day screening
Without structured qualification, counsellors use their sessions establishing basics that could have been captured in the first exchange.
The documents that never arrive
Between a counselling session and a submitted application sit transcripts, scores and financial documents. Chasing them is nobody's assigned job, and deadlines pass.
Last year's enquiries, unworked
Students who were not ready for the previous intake are still students. In most consultancies those records sit in a spreadsheet nobody reopens.
Count it in your own numbers
- 1Take last intake cycle's enquiries across every channel.
- 2Count how many received a reply within an hour, and how many counselling sessions were booked.
- 3Count how many booked sessions were attended, and how many reached a submitted application.
- 4Add the previous cycle's enquiries that were never revisited. That total is the pipeline — we run it with your figures on the call.
The system
What we deploy for an education consultancy
Capture
Social DMs, ad lead forms, website enquiries, chat and missed calls consolidated into one pipeline with a single record per student.
Engage
An immediate reply that asks a real question instead of acknowledging receipt — in the language the student wrote in, at whatever hour they wrote.
Qualify
Destination, intake, test status and academic background captured before booking, so the session goes to the counsellor who handles that destination.
Book
Counselling sessions booked into real counsellor availability, confirmed immediately and reminded — which is where most of the attendance improvement comes from.
Follow up
Document and deadline chasing through the long middle, reschedules for missed sessions, and structured re-engagement of previous-cycle enquiries ahead of each intake.
Measure
A weekly page: enquiries, qualified, sessions booked, sessions attended, applications progressed — against the baseline measured before go-live.
Your counsellors spend their sessions counselling rather than screening, and the long middle between session and application stops being the place enrolments disappear.

The rules this system runs under
It never guarantees a visa, an admission, a scholarship or any outcome, and it does not quote approval rates. In a sector where over-promising has caused real harm to students, this line is absolute.
It shares only factual course, intake and process information that your team has approved. Eligibility assessments belong to your counsellors.
It never advises on documentation that would misrepresent a student's position, and anything ambiguous goes to a human rather than being resolved in the conversation.
One-to-one conversations with students who contacted you. Opt-outs honoured immediately, and honest disclosure if someone asks whether they are speaking to an assistant.
Objections, answered straight
They do, and they will — sooner. The system's job is to get the student into a counselling session with the right person, prepared. It never counsels. What it replaces is the twelve hours of silence before a counsellor was free to reply.
Which is exactly why the guardrails are absolute rather than configurable. No guarantees on visas, admissions or scholarships, no approval percentages, no assurances of any kind. If your growth depends on implying those things, we are the wrong supplier.
Usually yes, because a student who was not ready last cycle is often ready this one. Re-engaging them is careful work — respectful, opt-out-first, and framed around the new intake rather than pretending no time has passed. It is one of the highest-return pieces we build.
That is normal and expected. Mixed-language and transliterated messages are handled as standard; additional languages are scoped at setup and tested before anything goes live.
Who this is for
This works if:
- You receive enquiries daily, most of them in the evening
- A counselling session is the conversion event that matters
- Counsellors currently spend session time on screening
- You have previous-cycle enquiries that were never revisited
This isn’t for you if:
- Your enrolments come entirely from institutional partnerships
- You want lead generation rather than conversion infrastructure
- You need the system to make promises about outcomes
